The Best Microsoft 365 Features You’re Probably Not Using

April 8, 2025 Alexander Du Gaue Comments Off

You’re paying for Microsoft 365—and while you’re probably using Word, Outlook, and maybe Teams on a good day, there are some seriously powerful tools hiding in plain sight. Most businesses barely scratch the surface, missing out on features that could save time, improve collaboration, and streamline the way their teams work.

So let’s change that.

Here are some of the best Microsoft 365 features you’re probably not using—but definitely should be.

1. Microsoft Loop

Think of Loop as the future of collaborative documents. It lets teams create dynamic, real-time content blocks that can live inside emails, Teams chats, and more. A single Loop component (like a task list or table) updates everywhere it exists—automatically.

Try it: Open a Teams chat and click the “Loop” icon to start a collaborative task list or checklist. Any updates made in that chat will reflect anywhere else that component is shared.

2. Power Automate

Power Automate (formerly Flow) lets you build simple automations like “when a new email arrives with an attachment, save it to OneDrive.” It’s like having a digital assistant for repetitive tasks.

Try it: Go to https://make.powerautomate.com, sign in with your Microsoft 365 account, and choose a prebuilt template to start automating tasks.

3. Microsoft Bookings

Still emailing back and forth to schedule meetings? Bookings is your built-in scheduling tool. Let clients or coworkers book time with you based on your real-time availability.

Try it: Head to https://book.ms, log in, and set up your first calendar with available times, services offered, and booking rules.

4. OneNote for Team Collaboration

OneNote is more than a digital notebook—it’s a shared workspace. Perfect for brainstorming, project notes, or meeting agendas.

Try it: Create a shared notebook in OneNote and invite your team. Use tabs for projects and pages for meeting notes, goals, and to-dos. Everyone can edit live.

5. Microsoft Forms

Need to collect feedback or run a quick survey? Forms does it in minutes, and responses go straight to Excel.

Try it: Go to https://forms.office.com and click “New Form.” Add questions, choose answer types, and share the link with your team or clients.

6. Teams App Integrations

Teams is more than just chat and video. You can add apps like Planner, OneNote, and Power BI right into your Teams channels.

Try it: Inside a Teams channel, click the “+” icon to add a tab. Select Planner, for example, to embed a task board directly into your team workspace.

7. SharePoint as an Internal Hub

SharePoint is often overlooked, but it can become your internal knowledge base or intranet site for documents, company news, and more.

Try it: From your Microsoft 365 homepage, choose SharePoint and click “Create site.” Use the communication site template to build a central hub for your company.

8. Outlook Quick Steps & Rules

You can automate repetitive tasks like sorting emails, forwarding messages, or applying labels.

Try it: In Outlook, go to the Home tab and find “Quick Steps.” Set up one to move emails to a folder and mark them as read. Pair with Rules to automate sorting based on sender or subject.

9. Delve (People-Powered Search)

Delve surfaces the most relevant files and contacts based on what you’re working on and who you collaborate with most.

Try it: Visit https://delve.office.com and explore your most accessed files, see trending documents, and reconnect with coworkers’ shared content.

10. Dictation in Word and Outlook

Use voice-to-text to quickly draft emails or documents without typing.

Try it: In Word or Outlook, click on the “Dictate” button in the toolbar, then start speaking. It works great for notes, emails, and even longer documents.
